HomeMy WebLinkAboutResolution No. 74230 0 RESOLUTION NO. 7423 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF AZUSA AMENDING THE JOB SPECIFI- CATIONS FOR ADMINISTRATIVE SECRETARY THE CITY COUNCIL OF THE CITY OF AZUSA DOES HEREBY RESOLVE AS FOLLOWS: SECTION 1. The job specifications for the classification of Administrative Secretary are hereby amended to read in accordance with Exhibit A attached hereto and incorporated herein by reference. SECTION 2. This Resolution shall become effective immediately. SECTION 3. The City Clerk shall certify to the adoption of this Resolution. ADOPTED AND APPROVED THIS 6th day of February, 1984. J LL.�✓ I HEREBY CERTIFY that the foregoing Resolution was duly adopted by the City Council of the City of Azusa at a regular meeting hereof held on the 6th day of February, 1984, by the following vote of Council: AYES: COUNCILMEMBERS CRUZ, COOK, CAMARENA, LATTA, MOSES NOES: COUNCILMEMBERS NONE ABSENT: COUNCILMEMBERS NONE CITY CLERK 0 CITY OF AZUSA (Exhibit A) ADMINISTRATIVE SECRETARY JOB SUMMARY 0 Date adopted: Under direction serves as general administrative aide and secretary to the City Administrator; assists in maintaining proper flow of information and communications between the City Administrator and departmental administrators, City Council, and the public; coordinates arrangements for meetings and functions; and assumes and performs related duties as required. Rg-prosontative_ Duties _ Organizes the flow of communications, paper work, and activity through the City Adminis- trator's office, including department heads, elected officials, and the public; evaluates requests and questions and provides appropriate information or routes -them to proper office; maintains City Administrator's calendar and schedule, makes follow-up calls, and initiates calls as necessary; drafts correspondence and memoranda independently; follows up on and expedites receipt of decisions, answers, and information of special management or public significance; assembles Council agenda materials related to the City Administrator's activities and follows up on agenda items emanating from other departments of special interest to the City Administrator; takes dictation including conference dictation at important meetings; assists the City Administrator and Councilmen in their various official requests and activities; organizes and oversees the City Administrator's office filing system, basic data about the City, and routing, location, and status of all important transactions in progress; supervises other office workers directly and coordinates the work of other office personnel indirectly; communicates information, advice and instructions as an agent of the City Administrator. Organizational Responsibilities This is a unique position in the City, reporting to the City Administrator, and is responsible for coordinating and expediting the two-way flow of communications and paperwork between this office and all City departments efficiently. Special dimensions of responsibility are added because of the close working relationship with the Mayor, Councilmen, Commissioners, press, and the public. QUALIFICATIONS GUIDE Education equivalent to graduation from high school, or completion of a business course, and training in office management; and five years of responsible stenographic experience, of which at least two years shall have been at a responsible secretarial level. Page 1 of 2 0 0 ADMINISTRATIVE SECRETARY (CONT) Knowledge and Abilities Thorough knowledge of English, grammar, spelling, filing, and arithmetic; modern office methods, procedures, terms, and equipment. Knowledge of the basic principles of city government, organization, and public admin- istration; the principles of office organization, administration, supervision, and training; the principles of public relations and artful communications. Ability to understand and carry out frequently a wide variety of written and oral instructions; act independently and resourcefully in meeting new problems; work cooperatively with professional supervisors and associates, other employees, and the public; use proper written and oral English; handle public complaints tactfully. Skills Typing: 65 WPM Dictation: 100 WPM Personal Qualities Pleasing personality; good judgement in personal relationships; the highest level of dis- cretion; fidelity; reportorial accuracy.
