BUTZLAFF, ICMA-CM, CITY MANAGER FROM: DANIEL BOBADILLA, P.E., DIRECTOR OF PUBLIC WORKS/CITY ENGINEER DATE: APRIL 17, 2017 SUBJECT: AUTHORIZATION TO INCREASE A BLANKET PURCHASE ORDER FOR CONTROL AIR CONDITIONING SERVICE CORPORATION SUMMARY: The Public Works Department utilizes Control Air Conditioning Service Corporation as its vendor for routine preventative maintenance, as well as repairs to the City’s HVAC systems. The blanket purchase order for FY 16-17 was approved at $40,000. Due to an increased need for repairs Staff is requesting that the blanket purchase order for FY 16-17 be increased by an additional $40,000 for a total expenditure of $80,000. The proposed action approves an increase to the blanket purchase order for Control Air Conditioning Service Corporation. RECOMMENDATION: Staff recommends that the City Council take the following action: 1)Approve an increase to the blanket purchase order for Control Air Conditioning Service Corporation from $40,000 to $80,000. BACKGROUND: The City uses Control Air Conditioning Service Corporation as its vendor for preventative maintenance and repairs to City HVAC systems. This vendor was selected through an RFP selection process and the agreement was awarded on June 6, 2016. Due to the age of the HVAC equipment and several large repairs/replacements, Staff is close to exceeding the $40,000 blanket purchase order limit. Staff is requesting that the blanket purchase order be increased to $80,000 to cover repairs as needed through the end of the fiscal year. APPROVED CITY COUNCIL 4/17/2017 Control Air Purchase Order April 17, 2017 Page 2 FISCAL IMPACT: Staff will prepare a FY 2016-2017 budget amendment in the amount of $40,000 under 10-55-666-000- 6493 upon approval of the recommended action and increase Blanket Purchase Order 026103 by $40,000 to a total of $80,000.
