E-7
TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL
VIA: SERGIO GONZALEZ, CITY MANAGER
FROM: ANN GRAF, DIRECTOR OF INFORMATION TECHNOLOGY &
LIBRARY SERVICES
DATE: DECEMBER 3, 2018
SUBJECT: PURCHASE OF 25 COMPUTER WORK STATIONS
BACKGROUND:
These 25 PC’s are for equipment replacement in the Light and Water Customer Service division to
replace antiquated equipment and to provide the updated hardware requirements for new technologies.
RECOMMENDATION:
Staff recommends the City Council take the following actions:
1)Waive formal sealed bids in accordance with Azusa Municipal Code Section 2-520 section a.1; and
2)Approve the purchase of 25 Computer Work Stations and award the purchase to CDW-G in the amount of
$32,077.73
ANALYSIS:
Ongoing Information Technology equipment replacement addresses areas with low-end computers, and
realigns PC replacement with PC life cycle through annual equipment replacement when budget monies
are available. Given the total cost of ownership and the rapid obsolescence of PC's, replacements are
initially planned over a 4 year life cycle. By relocating PC’s and printers across departments and users
as we procure new systems, we have been able to achieve optimal usage of the equipment and extend
the life of the PC's to more than 4 years in most cases.
FISCAL IMPACT:
The adopted FY2018-19 budget includes funding for this equipment replacement is budgeted in the
Information Technology Department equipment replacement budget in account 31407029357142.
