SUBJECT: WAIVE FORMAL BIDDING FOR THE PURCHASE OF ONE (1)
COMPRESSED NATURAL GAS VAN
Recommendation
Approve to waive the formal bidding procedure Section 2-514 of the A.M.C.based on the formal
bidding results from Henderson, Nevada and award the purchase of a 2000 Ford F350 Van to
Wondries Ford in the amount of$26,450, and approve budget transfer.
Background
The City of Azusa recently adopted Resolution No. 00-C35 establishing policy for incorporating
alternative fuel vehicles into the city fleet. The city currently has five compressed natural gas (CNG)
vehicles which has reduced our gasoline consumption by 510 gallons within 4 months. The current
cost for CNG is $1.05 versus the $1.20 for gasoline at the City Yard.
The new CNG Van will replace a 1985 Ford Van currently being used by the Facility Maintenance
operation. The present van is burning and dripping oil that will require an overhaul to solve the
problem.The van has a 72,700 odometer reading with numerous repairs over the past three years.
The wavier is based on the piggy-back procedure used by municipalities throughout the nation
which provides a city to use another city's formal bid results which will save staff time, eliminate
the advertising period, and expedite the delivery.
Fiscal Impact
The purchase is budgeted within the 2000-01 C.I.P. at$25,000. Staff will submit a budget transfer
in the amount of$1,450 from the surplus funds of the Azusa Woman's Club Floor replacement
project, in order to remain within budget.
