HomeMy WebLinkAboutD-5 Purchase of Computer Hardware from Hewlett Packard for Upgrade z//g76Z fir 04,4011 AZUSA AGENDA ITEM TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: ANN GRAF GAYNOR, INFORMATION SERVICES MANAGER VIA: RICK COLE, CITY MANAGER Rite DATE: FEBRUARY 19, 2002 SUBJECT: PURCHASE OF COMPUTER HARDWARE FROM HEWLETT PACKARDFOR UPGRADE OF THE CITY'S FINANCE SYSTEM IN AN AMOUNT NOT TO EXCEED $96,000 RECOMMENDATION It is recommended that the City Council approve the purchase of hardware from Hewlett Packard per attached configuration; per municipal code 2-523 (b) hardware purchase and 2-523 (c), No Competitive Market; Total hardware purchase amount not to exceed $96,000. BACKGROUND The City currently has a 20-user license for use of the financial system. When this system was purchased four years ago it was not configured for citywide deployment of on-line purchasing, cash receipting, budget and inquiry. Since the installation of the system City wide deployment has taken place-allowing users in many departments access to on-line purchasing and approvals, budget information and inquiry, because of this we continue to have system bottlenecks, and users sometimes have limited access. In addition to the upgrade a web-based interface for the software will be implemented, which will allow for web based time card entry, and several other features including a user-friendly interface via a browser. A workflow module is also included, which will facilitate the routing of processes within the finance system to the appropriate users. Server life expectancy per the Information Technology Master Plan, calls for server replacement to begin with a 4-year life cycle. The server is being replaced in accordance with this replacement policy. In order to continue to allow for deployment of the current features, decrease the existing bottleneck and allow for expansion the user license must be increased and hardware must be upgraded. FISCAL IMPACT This project is budgeted for in the 2001-2002 CIP in the amount of $125,000. Staff will be requesting additional funding in the 2002-2003 CIP for the following items, 20 additional user licenses for Bi-tech systems, in the amount of $75,775, the purchase of Netsight from Bi-Tech Software, in the amount of $34,084 the upgrade of the Informix database engine and Micro Focus Cobol for the additional user licensing from Bi-Tech Software in the amount of $24,500. The total project amount for hardware and software is not to exceed $230,000.
