HomeMy WebLinkAboutE-19 Staff Report - Purchase 1 New Truck 2020CONSENT ITEM E-19 TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL VIA: SERGIO GONZALEZ, CITY MANAGER FROM: MATT MARQUEZ, DIRECTOR OF ECONOMIC & COMMUNITY DEVELOPMENT DATE: SEPTEMBER 21, 2020 SUBJECT: APPROVE PURCHASE OF (1) NEW TRUCK FROM CLAREMONT TOYOTA TO REPLACE EXISTING COMMUNITY IMPROVEMENT VEHICLE BACKGROUND: The Community Improvement Division needs to replace a 2007 Chevy Colorado. The Community Improvement Division contacted three Toyota Dealers for bids, and obtained quotes for a new vehicle (Attached). The proposed action will authorize the City Manager to execute the purchase of a new 2020 Toyota Tacoma SR from Claremont Toyota. RECOMMENDATION: Staff recommends the City Council take the following action: 1)Approve the issuance of a purchase order to Claremont Toyota in the amount of $27,848.00 plus a contingency of 10% for final fees. ANALYSIS: The Community Improvement Division has been using their current vehicle, a 2007 Chevy Colorado, for approximately thirteen years and it needs to be replaced. A truck is the preferred vehicle for Community Improvement staff, as it allows them storage room to collect abandoned property, illegal signs, and abandoned shopping carts. The Community Improvement Division worked with three Toyota Dealerships, in obtaining a quote. The quotes for new vehicle are as follows: APPROVED CITY COUNCIL 9/21/2020 2020 Toyota SR Truck September 21, 2020 Page 2 Quote # Vendor Purchase Amount 1 Claremont Toyota $27,848.00 2 Longo Toyota $27,858.00 3 Puente Hills Toyota $28,866.00 The Community Improvement Division is also asking for a 10% contingency to allow for any increases due the volatility of daily inventory. FISCAL IMPACT: The total cost of the new vehicle is $27,848.00 plus a 10% contingency for any increased costs due to inventory volatility. The City received an amount of $16,496 as reimbursement from the insurance company for the Community Improvement Division vehicle that was involved in an accident and was totaled. The funds were deposited under account 10-35-643-000-4699. As such, the fiscal impact is a net decrease of $11,352 ($27,848 - $16,496) to the General Fund. Upon Council approval, staff will prepare a budget amendment and increase the FY 2020-21 Community Improvement approved budget by the amount needed to purchase the vehicle up to a maximum of $30,632.80 under 10-35-643-000- 7135 for the replacement vehicle purchase.
