SUBJECT: REQUEST TO APPROVE PURCHASE OF UNITRENDS RECOVERY APPLIANCE
FROM PIVOTAL DATA SOLUTIONS
BACKGROUND:
The city currently has both a disk back up strategy and a tape backup which is stored offsite. Best
practices for back up include a 3-2-1 approach, three copies of data on at-least 2 different devices or
mediums with one offsite storage location. As our technology ages it has become evident our tape
backup needs to be replaced, as the device is failing. To take advantage of cloud storage availability and
to continue with best practices for back up strategy staff recommends the implementation of a Unitrends
recovery appliance and cloud retention subscription. This will manage the backup process, move data to
the cloud and position us to implement disaster recovery.
RECOMMENDATIONS:
Staff recommends the City Council take the following actions:
1)Waive the competitive bidding process as authorized under Azusa Municipal Code section 2-
517(38) Solicitation and Bidding exceptions; Computers, Computer components; and
2)Approve the purchase of Unitrends Recovery appliance and Cloud services from Pivotal
Solutions in the amount of $79,922.00; and
3)Approve the appropriation of $80,000 for the purchase of system.

ANALYSIS:
The City has been using the existing tape backup and file to disk as their primary back up strategy. The
purchase of the Unitrends recovery appliance will allow us to implement the 3-2-1 best practice and add
cloud storage. The strategy will provide 3 copies of data two to disk, one which is off the network, and one
in the cloud. This will also position us to implement disaster for our most critical systems, finance and
utility billing.
Due to the complexity of our heterogeneous operating systems environment the options were limited. Ease
of use and number of components needed for implementation were considered. Research included
traditional and alternative technologies from several vendors in an effort to not only meet our current needs,
but to ensure the investment we are making will serve our long range goals as well. The Unitrends appliance
filled these requirements.
FISCAL IMPACT:
Upon Council approval of the recommended actions, staff will prepare a budget amendment and increase
the budget by $40,000 under 48-49-930-000-7142 and $40,000 under 48-49-942-000-7142.
