JOHNSON, DIRECTOR OF ADMINISTRATIVE SERVICES DATE: NOVEMBER 15, 2021 SUBJECT: APPROVAL TO PURCHASE FURNITURE FOR THE FINANCE DIVISION OF THE ADMINISTRATIVE SERVICES DEPARTMENT BACKGROUND: Staff is seeking City Council Approval to purchase furniture as part of the City Hall update. The Finance Division of the City of Azusa has utilized the same office furniture and cubicles for over 20 years. Over the years the furniture has begun to deteriorate and now requires the purchase of new furniture. Furniture will be required for two (2) offices, six (6) work stations, and one (1) counter area. RECOMMENDATION: Staff recommends the City Co uncil take the following action: 1)Approve the purchase and installation of office equipment in the amount of $29,945.27 from D&R Office Works, Inc. ANALYSIS: In the Fiscal Year 2021/2022 budget City Council approved updates to City Hall including new furniture for the Finance Division of the Administrative Services Department. This project includes the removal of existing worn and damaged furniture, and the purchase of furniture for the new offices, cubicles and works areas of the Finance Division. The furniture vendor, D & R Office Works, has provided the city the lowest bid for the most functional setup of workstations. In addition, the vendor has provided the city with several similar project s for recent renovations to the West Wing and Suite 2B in addition to several smaller replacement projects. Based on these recent furniture replacements, Staff has worked to prepare a standardized furniture palette. APPROVED CITY COUNCIL 11/15/2021 Finance Division Furniture November 15, 2021 Page 2 FISCAL IMPACT: The recommended actions award a contract to D&R Office Works, Inc. for a total not -to-exceed amount of $29,945.27. $150,000 in total is budgeted in the Capital and Infrastructure Replacement Account Number 46-80-000-000-7125 for total City Hall North Wing upgrades.
