HomeMy WebLinkAboutE-8 Staff Report - Landscape and Irrigation Maintenance First AmendmentCONSENT ITEM E-8 TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL VIA: SERGIO GONZALEZ, CITY MANAGER FROM: ROBERT DELGADILLO, DIRECTOR OF PUBLIC WORKS/CITY ENGINEER DATE: FEBRUARY 22, 2022 SUBJECT: APPROVAL OF FIRST AMENDMENT TO AGREEMENT FOR MAINTENANCE SERVICES BETWEEN THE CITY OF AZUSA AND BRIGHTVIEW LANDSCAPE SERVICES BACKGROUND: Brightview Landscape Services (Brightview) has been providing landscape and irrigation maintenance services at City parks, parkways, and median islands since 2012. On January 22, 2019, City Council awarded a maintenance contract for a three-year term which is set to expire on February 28, 2022. Brightview’s contracts is for City-wide maintenance services for parks, parkways, median islands, and Azusa Light & Water owned sites. RECOMMENDATION: Staff recommends the City Council take the following actions: 1)Approve the First Amendment to the Maintenance Services Agreement between the City of Azusa and Brightview Landscape Services for landscape and irrigation maintenance services; and 2)Authorize the City Manager to execute the Contract Amendment, in a form acceptable to the City Attorney, on behalf of the City. ANALYSIS: Brightview Landscape Services (Brightview) has been providing landscape and irrigation maintenance services at City parks, parkways, and median islands since 2012. APPROVED CITY COUNCIL 2/22/2022 Landscape and Irrigation Maintenance Amendment 1 February 22, 2022 Page 2 As is common with all City Maintenance contracts, staff may recommend up to two additional one-year extensions after the initial three-year term for a total of five years. Brightview has decided to forego the one-year extension and offered to continue their services on a month-to-month basis for the remainder of Fiscal Year 2021/22 at their current monthly rate. Throughout the past three years Brightview has fulfilled their contract obligations with the City and has been able to assist the City in various additional assignments. With the recommendations above approved, Brightview will continue their contracted services for the remainder of Fiscal Year 2021/22. Staff will be returning to the City Council for authorization to solicit a Notice Inviting Bids for Landscape and Irrigation Maintenance at a future City Council Meeting. FISCAL IMPACT: There is no fiscal impact on the requested amendment and the contract costs are included in the FY2021-22 adopted budget under the following accounts: 10-25-420-000-6493 - $275,000 37-25-420-000-6493 - $157,000 Azusa Light & Water, L&W Buildings Account #31-40-702-935-6805 - $11,160 Water Production Account #32-40-722-707-6805- $18,432 Water Districts Account #32-40-723-759-6805 - $2,448 Electric Division Account #33-40-735-910-6815- $3,816 Prepared by: Reviewed and Approved: Robert Delgadillo, P.E.
