HomeMy WebLinkAboutE-4 Staff Report - Blanket Increase - Frontier CommunicationsCONSENT ITEM E-4 TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL VIA: SERGIO GONZALEZ, CITY MANAGER FROM: ANN GRAF, INFORMATION TECHNOLOGY AND LIBRARY SERVICES DIRECTOR DATE: JUNE 6, 2022 SUBJECT: REQUEST TO INCREASE FISCAL YEAR 2021/2022 BLANKET PURCHASE ORDER FOR FRONTIER COMMUNICAITONS BACKGROUND: In accordance with Sec. 2-518 (a) of the Azusa Municipal Code, purchase orders over $50,000 require Council approval. The Information Technology Department is requesting authorization to increase the FY 2021/22 blanket purchase order with Frontier Communications for Citywide Phone Lines from $40,000 to $72,000. No additional budget is being requested for this request. RECOMMENDATION: Staff recommends the City Council take the following action: 1)Approve an increase to the Frontier Communications Blanket Purchase Order for Fiscal Year 2021/22 to a not-to-exceed amount of $72,000 ANALYSIS: The City uses Frontier Communications for Citywide Phone Lines. Staff originally requested a $40,000 blanket purchase order with the expectation that the new phone lines would be live sooner. However, due to some COVID-19 pandemic related delays, the installation of the new system was slightly delayed. As a result, the blanket purchase order needs to be increased in order to pay outstanding invoices. Council action is required to increase the blanket purchase order as the request exceeds the City Manager’s $50,000 approval authority in accordance with the City’s purchasing policy. APPROVED CITY COUNCIL 6/6/2022 Increase Blanket PO June 6, 2022 Page 2 FISCAL IMPACT: Sufficient budget is available in FY 2021/22 to cover the cost of the increased purchase order.
