HomeMy WebLinkAboutE-8 Staff Report - Increase PO PSA Print GroupCONSENT ITEM E-8 TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL VIA: SERGIO GONZALEZ, CITY MANAGER FROM: MIKI CARPENTER, DIRECTOR OF COMMUNITY RESOURCES DATE: JANUARY 17, 2023 SUBJECT: APPROVAL OF INCREASE TO PURCHASE ORDER FOR CITY GUIDE PRINTING AND DISTRIBUTION BACKGROUND: In April of 2022, the City Manager approved a purchase order for PSA Print Group to complete the printing/distribution of the spring/summer and fall/winter city guides. The original estimate was for two, 48-page city guides and totaled $49,043.72. Due to the addition of eight additional pages to each guide and the dramatic increase in the price of paper since March, additional funds are needed. Staff is requesting approval of an additional $17,524.05 to fund the guide(s). RECOMMENDATION: Staff recommends that the City Council take the following actions: 1)Approve an increase of $17,524.05 to PSA Print Group purchase order #036686 for printing and distribution of the spring/summer and fall/winter city guides. ANALYSIS: Earlier this year, an informal bidding process for printing and distribution of the city guide was conducted. PSA was the lowest qualified bidder and the City Manager approved a purchase order for the spring/summer and fall/winter issues totaling $49,043.72. Due to additional pages added to both issues and the dramatic increase in the price of paper, additional funds in the amount of $17,524.05 are needed. FISCAL IMPACT: There is no General Fund impact associated with this item. L&W funds are available to fund the increase to the purchase order as follows: 24-40-739-085-6625/Market-6625 $8,762.03, 39-40-750-065- 6625 $8,762.02. Upon Council approval, Staff will increase the purchase order with these funds.
