HomeMy WebLinkAboutE-8 Staff Report - Request to increase blanket PO for Central SquareCONSENT ITEM E-8 TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL VIA: SERGIO GONZALEZ, CITY MANAGER FROM: MIKE GUADAGNINO, INTERIM DIRECTOR OF INFORMATION TECHNOLOGY DATE: AUGUST 21, 2023 SUBJECT: REQUEST TO INCREASE FISCAL YEAR 2023-24 BLANKET PURCHASE ORDER FOR ANNUAL SOFTWARE SUPPORT FOR SUPERION LLC. (CENTRAL SQUARE) BACKGROUND: In accordance with Sec. 2-518 (b) of the Azusa Municipal Code, purchase orders over $50,000 require the review and consideration of the City Council. The Information Technology Department is requesting authorization to increase the FY 2023-24 Blanket Purchase Order (BPO) 039601 from $80,000.00 to $86,517.72 for annual software support with Superion, LLC. (Central Square). RECOMMENDATIONS: Staff recommends that the City Council take the following actions: 1)Approve an increase to the Fiscal Year 2023-24 Blanket Purchase Order #039601 for annual software support for Superion, LLC. (Central Square) by $6,517.72 ANALYSIS: The City utilizes Superion, LLC. (Central Square) software for its Finance System. The annual support cost for this software was increased by $6,517.72 for this fiscal year. The original BPO was approved for $80,000 and needs to be increased to $86,517.72. Council action is required to increase BPO 039601 as the request exceeds the City Manager’s $50,000 approval authority in accordance with the City’s purchasing policy. FISCAL IMPACT: Funding for this request is included in the FY2023-24 approved budget under the Information Technology Computer Software Support Accounts #4849930000-6415 (50%) and #4849942000-6415 (50%).
